  1. Bill of lading (BL): a legally binding document that a transportation company provides to a shipper containing information about the type, quantity, and intended destination of the goods being transported. It is proof of shipment receipt issued when the carrier delivers the goods to their predetermined destination. Irrespective of the mode of transportation, the bill of lading must accompany the shipped products and be signed by an authorized representative from the carrier, shipper, and receiver. It is an important document that ensures goods’ safe and accurate delivery.
  2. Commercial Invoice: This is an invoice issued by the seller, used to show the value of the order.
  3. Packing list: A packing list issued by the seller shows the number of packages and the weight of the goods loaded onto the ship.
  4. Certificate of Origin: The Vietnam Chamber of Commerce and Industry issued a certificate of origin. They were used to prove the origin of the goods and to receive import tax incentives.
  5. Certificate of Phytosanitary: A plant quarantine certificate issued by the Plant Protection Department. Used to prove that the agricultural products are safe, free from contamination, pests, and diseases, and have been tested for quality.
  6. Certificate of Fumigation: A certificate issued by a third-party inspection company for pest control to prove that the agricultural products have been thoroughly disinfected before export.
  7. Certificate of Quality and Quantity: A certificate issued by a third-party inspection company for quantity and quality and used to show the actual quantity and quality of the delivered goods.
  8. Other special documents: Depending on the country, additional special documents may be required, such as Health certificates and Certificates of Conformity. Therefore, buyers need to check carefully with customs in the importing country.

Paying

In terms of payment, it’s common for the entire order value to be paid in two installments (before and after receiving goods) to avoid scams. Consulting with professionals can help ensure effective payment methods based on specific circumstances.

The first method is L/C or Letter of Credit, which involves a bank guaranteeing payment for both the buyer and seller.
